Dear Member of the Capital Region Masters Cycling Club,
The Committee is calling a General Meeting to seek Members’ agreement to make two sets of amendments to our Constitution, to:
– cover required updates in line with updated ATO regulations; and
– formally allow for online pre-meeting voting.
Recent changes to ATO regulations and the ACT Government’s regulations for incorporated associations such as ours, means that our Constitution requires an update in order for us to maintain our tax-free exemption and keep our running costs as low as possible.
The updated requirement is for our Constitution to explicitly state that the CRMCC is not permitted to distribute any surplus, income or assets to CRMCC members. This requirement follows what is already mirrored in clauses of the Australian Veterans Cycling Council’s constitution, to which we ascribe, where it states that “the Association is not permitted to distribute any surplus, income or assets directly or indirectly to its members”.
The Committee has received urgent advice from our recently-completed annual report review, and from the ATO, to have these changes in place before 30 June this year.

Pre-meeting voting survey
You may register your response to the Constitutional amendments by online voting, provided that we will get enough ‘online’ votes to pass the reforms to allow pre-meeting anonymous voting.
We are trialling the option of pre-meeting voting as a test for Special Resolution 2. You can choose to complete this survey ahead of the General Meeting, and submit your response to the Secretary. Your response will be considered assuming that Special Resolution 2 is accepted in-meeting.
